Business Case:

Practice Management Associates (PMA) provides outsourced coding, billing and collection services for emergency department physician practices. As PMA matured as an organization senior leadership desired to position themselves for future growth through the use of technology. PMA was faced with a number of challenges that constrained their ability to efficiently manage and scale the business. A holistic picture of organizational performance was difficult to compile and was not available for analysis until weeks after the work being measured was performed.  Medical record coders were constrained by their knowledge of disparate EHR systems, making it difficult to move coders between clients to meet demand. Bringing on new EHR clients required a costly and time-consuming integration process prohibiting PMA from quickly adding new customers. CapTech was engaged to help PMA assess and implement the right technology required to solve these challenges. 

Solution: 

PMA and CapTech resources worked together to choose the right solution to meet PMA’s needs.  After executing a business and technology assessment, Microsoft BizTalk Server was chosen as the best messaging solution to address PMA’s challenges. CapTech resources implemented Microsoft BizTalk with the HL7 Accelerator Pack to take raw data feeds from each source systems and integrate them into PMA’s coding applications. Getting the data in an electronic format enabled PMA to display chart information to coders in a consistent format regardless of the client, increasing productivity and allowing coders to work on multiple client’s charts.

Once the data was collected in a single repository, real time key performance metrics were developed enabling quick and actionable insight into business performance. Additionally, weekly client dashboard reports were developed using Microsoft SQL Server Reporting Services to provide PMA’s clients a summary of the work being done in their emergency departments and the associated billing for that work.

  • Reduced average turn-around time to code records by over 50%. These time reductions have created capacity to increase the number of manual code audits to improve accuracy and provide further insight into personnel performance.
